    一、管理与团队建设 团队管理与培训负责管事部人员的招聘、选拔、调配和辞退工作,根据部门工作需要和岗位要求,招聘合适的人才,构建高效的团队。合理安排员工工作岗位和班次,确保各岗位人员充足,工作有序开展。 制定并执行管事部员工培训计划,包括新员工入职培训、岗位技能培训、安全卫生培训等,定期组织培训课程和考核,不断提升员工业务水平和服务质量,培养员工团队合作精神和职业素养。 建立有效的员工激励机制,通过绩效考核、表彰奖励、职业发展规划等方式,激发员工工作积极性和主动性,提高员工满意度和忠诚度,降低员工流失率。 制度建设与执行建立健全管事部各项规章制度、操作流程和服务标准,涵盖餐具管理、设备维护、清洁卫生、人员考勤等方面,确保部门工作有章可循、规范有序。监督检查员工对规章制度和操作流程的执行情况,及时纠正违规行为,对违反规定的员工进行相应处罚,同时通过定期培训和宣传,强化员工对制度的理解和遵守意识。二、物资与设备管理 餐具及用品管理负责酒店餐具、厨具、布草等物资的日常管理,制定合理的库存标准和采购计划,确保物资供应满足酒店运营需求,同时避免积压浪费。定期组织盘点工作,准确掌握物资库存数量和损耗情况,及时补充短缺物资。 严格把控物资采购质量,与供应商建立良好合作关系,对新采购的物资进行严格验收,确保其符合酒店质量要求。对使用过程中的物资进行跟踪评估,及时反馈问题,优化采购渠道和产品选择。 制定餐具、厨具等物资的损耗控制标准,加强对员工的教育,规范操作流程,减少因人为原因造成的物资损坏和浪费。对损坏的物资及时进行维修或报废处理,做好记录和统计分析,为成本控制提供依据。 设备设施管理建立管事部设备设施档案,包括洗碗机、洗杯机、垃圾处理设备等,详细记录设备的型号、规格、购置时间、维修保养记录等信息。制定设备维护保养计划和操作规程,定期组织专业人员对设备进行检查、保养和维修,确保设备正常运行,延长设备使用寿命。当设备出现故障时,及时组织维修人员进行抢修,协调相关部门保障酒店运营不受影响。对重大设备故障或维修项目,负责组织技术论证和方案制定,参与维修过程监督和质量验收。关注行业新技术、新设备动态,根据酒店实际需求和发展规划,提出设备更新改造建议,参与新设备的选型、采购和安装调试工作,提高管事部工作效率和服务质量。三、卫生与安全管理 卫生管理制定管事部清洁卫生标准和工作流程,明确各区域、各岗位的清洁责任和工作频率,包括洗碗间、厨房储物间、垃圾处理区等,确保工作场所干净整洁、无卫生死角。 定期组织卫生检查和评比活动,对各工作区域的卫生状况进行检查打分,对不达标的区域责令整改,并将检查结果与员工绩效考核挂钩,激励员工做好卫生工作。 负责与酒店其他部门协调,共同做好酒店公共区域的卫生清洁工作,确保酒店整体环境符合卫生标准和宾客要求。 安全管理建立健全管事部安全管理制度,加强对员工的安全教育培训,提高员工安全意识和应急处理能力,包括消防安全、设备操作安全、食品安全等方面。定期组织安全检查,对管事部工作区域的消防设施、电器设备、燃气管道等进行检查,及时发现并消除安全隐患。对安全事故要及时报告、妥善处理,查明原因,采取有效措施防止事故再次发生。负责制定管事部食品安全保障措施,监督餐具清洗消毒、食品储存等环节的卫生操作,确保酒店食品安全,预防食品安全事故的发生。四、沟通与协调 内部沟通与酒店餐饮部、厨房等部门保持密切沟通,及时了解餐饮服务需求和菜品供应情况,合理安排管事部工作,确保餐具、厨具等物资及时供应,满足餐饮运营需要。 定期组织管事部内部会议,传达酒店政策和工作要求,总结工作经验教训,解决工作中存在的问题,加强员工之间的信息交流和协作配合。 与酒店其他部门如工程部、采购部、人力资源部等建立良好的协作关系,及时协调解决物资采购、设备维修、人员调配等方面的问题,保障管事部工作顺利开展。 外部沟通与物资供应商保持密切联系,及时了解市场动态、产品信息和价格变化,确保物资采购工作顺利进行。处理好与供应商的合作关系,解决合作过程中出现的质量、交货期等问题。与卫生防疫、消防等政府相关部门保持良好沟通,及时了解行业政策法规和监管要求,积极配合相关部门的检查和指导工作,确保管事部工作符合法律法规和行业标准。

The balance sheet must be regularly reviewed, and reconciliations performed of all accounts. • Ensure compliance with the Management agreement with Hilton International, and any Owner / Lease agreement. • Maintain a focused system of internal controls, which will provide an effective and efficient control over the hotel assets, liabilities, revenue and costs, ensuring compliance with company policy. • Maintain control over the hotel’s assets, liabilities, income and expenditure on behalf of both the Operator and Owner and provide management, leadership and accountability for the financial performance of the hotel. • Ensure legal and tax compliance and that adequate insurance cover is maintained managing the pension scheme, where applicable, ensuring that adequate accounting, actuarial and legal controls are in place. • Ensure valid permits and licenses have been obtained for such matters as importation, currency transfers and hotel operations (bars, clubs, casinos etc.). • Take responsibility for the safekeeping and updating of all leases and contracts, which may affect the financial status of the hotel. • Liaise and co-operate with both Internal and External Audit, ensuring that an effective program of in-hotel audit is in place and that corrective action is promptly taken where required. • Give particular emphasis to ensuring that all revenue is captured, making use of a monthly control checklist and conduct interim self-audits as required. • Develop best practice financial accounting and control procedures, with continuous review and development with the aim of maximizing both impact and efficiency. Management Reporting: Focused, innovative and balanced reporting that stimulates management action. • Develop high quality management information and performance measurement that is timely and accurate. Reporting should be thought provoking and action oriented. • Implement reporting that incorporates benchmarking, identification and measurement of key performance indicators, and use of the balanced scorecard. Reporting should not only look to historical performance within the hotel, but also outward and forward. • Ensure corporate reporting is timely and accurate, internally consistent and that, inter alia, Datalink report, Pro-plant system, management reports, trends of operation reports, incremental conversion reports, profit and loss statements, balance sheets and cash flow reports reconcile to the trial balance. Maintain proof of such reconciliations which are conducted each month. Business Support: Provision of the highest standards of financial and commercial support to the Business. • Support and advice on financial and commercial matters to the General Manager and to the hotel team, including the interpretation of financial data. • Review management information for the hotel and make proposals for the General Manager for value added initiatives. Where appropriate, play the “Devil’s Advocate” to challenge practices and proposals. • Provide financial and commercial skills to support business development initiatives, major pricing decisions and other commercial decision-making. Information Technology & Systems: Optimize the use of I.T. within the finance department to improve efficiency and information. • With Project Managers, support the implementation of financial systems in the hotel. • With the ISM ensure proper use and maintenance of financial systems, including adequate security and back up procedures. • Act as the guardian of the integrity of data flowing into the accounting system, ensuring that the control process is sound in systems that interface directly or indirectly with the accounting system. • Work with colleagues to ensure that errors are corrected at source and processes amended as required to eliminate rather than correct errors. • Continually develop the usage of financial systems in order to ensure highest levels of management reporting, processing and staffing efficiency and thereby return on investment. Investment Optimizing returns on capital investment. • Utilize project evaluation techniques to assist in directing investment to those projects which optimize returns both for the individual project and the enterprise as a whole. • Prepare annual capital plan and direct implementation of this plan, ensuring funding and necessary buying (e.g. Owners) are in place so that the note can be kept at the highest possible standard. • Prepare and review the AFE, ensuring financial accuracy and sound commercial and business judgment is applied to the process, and that authorization is obtained prior to commitment of the hotel to expenditure. • Perform post investment audit on major capital investments, communicating results of post investment reviews within the Management team and ensures actions are taken to learn from such results and maximize returns. • Ensure compliance with HI capital policy, maintaining proper control and recording of project spends. • Where applicable, prepare review and be involved in the production of financials for new developments and acquisitions. Looking Ahead: Operating against meaningful strategic plans and budgets with accurate forecasting. • Take a support role to the General Manager in hotel strategic planning, with particular emphasis on Master-Planning and “thinking outside the box” to identify value opportunities. • Manage the formulation, review and approval process for budgeting within the hotel. • Ensure a regular cycle of forecasting takes place within the hotel with content and detail appropriate to the needs of the operation. • Provides alerts to Senior Management and to Area Office via regular forecasts, outlook reports or via ad-hoc reporting concerning positive or negative trends in the business. • Work with colleagues and the General Manager to ensure consistency and accuracy of communication regarding future trends in the business. Avoid surprises. Investment in People: Ensuring the best person in each job, in an environment of continuous development. • Recruit and retain the best people for the job, especially at Assistant Controller level, making use of succession planning to develop and replace individuals effectively. • Establish and maintain good employee relations within the Finance department. • Aim to maximize efficiency in the accounting department and optimum staffing levels. • Recognize that a highly organized Accounts office is often a sign of an efficient department. • Develop the effectiveness of the hotel finance function through the ongoing training and development of the team. • Lead and motivate the team to high levels of performance. • Ensure that you manage to specific measurable objectives, giving regular feedback including appraisals. • Both the Director of Finance and Assistant Financial Controller should have a personal development plan. • Provide training to enhance the financial skills of the Management Team as a whole, utilizing tools such as Hilton University and Hilton LEXUE. Cash & Working Capital: Optimize cash position in an environment of tight control • Minimize the level of working capital, with particular emphasis on the management of debtors, stocks and sundry receivables. • Maximize interest earnings and minimize interest expense. • Maintain accurate cash flow forecasts for at least one year ahead, and ensure adequate notice is given to Hilton, and to Owners, of any future cash requirements. • Ensure full reconciliation of all bank accounts on a weekly basis, maintaining the highest standards of control over all cash and bank balances at all times. • The role of the Director of Finance is to establish robust credit control and credit management policies with the General Manager and the Commercial Director within the guidelines set out by Group Policy and following best practice principles – once established, the Director of Business Development applies such policies and controls. • It is the responsibility of the Director of Finance to ensure that controls over accounts receivable are being applied correctly and to take action to rectify any problems identified if they are not. • The Director of Finance must review all accounts receivables with the Commercial Director on a monthly basis and ensure that there are no recoverability issues. • It is the responsibility of the Director of Finance to maintain an appropriate reserve for bad or doubtful debts. Cost Management: Support the operation to optimize efficiency of the cost base • Understand and measure cost drivers for the hotel, utilizing innovative analysis to stimulate thought and management action. • Ensure that adequate purchasing procedures are in operation so that purchases of goods and services are made in the most cost-effective manner. • Benchmark costs against other hotels, identifying cost reduction opportunities and managing financial risks of the business. • Set an example to the hotel by operating an efficient and cost-effective Finance department.
