Position Purpose
The role primarily supports the Senior Events Executive in deliveringall Harrods China events, as well as landing HQ brand events across thebusiness unit, including but not limited to The Harrods Tea Rooms, Harrods TheResidence, Harrods Own Lable and Harrods.
You will assist in executing various types of events such as brandingevents, member events, co-branding initiatives, trade events, and private hire events.
You will be involved in and support all aspects of event management—fromplanning, creative concepts, production, and execution to post-event reporting.Once events are approved, you will ensure they proceed according to scheduleand that all operational and administrative tasks run smoothly among allstakeholders.
Principal Accountabilities
The focusof this role is to provide operational support to the Line Manager and assistin the smooth delivery of multiple events from planning to wrap-up, ensuringthey meet Harrods’ standards and are executed efficiently.
The roleinvolves completing a variety of tasks requiring clear communication, excellentorganizational skills, and attention to detail. The Events Assistant must workwell under pressure to ensure the seamless running of events .
· Assist with liaising with internal teams, brandpartners and agencies to support event planning and execution.
Prepare and control
event schedules and
timelines, highlighting key dates and deadlines
Support the preparation of
event briefs, proposals, and operational plans, ensuring all necessary
documentation is complete and up to date
Aid in coordinating
logistics, deliveries, and collections related to the event
Support with obtaining
approvals and necessary sign-offs from relevant departments, including
health & safety, landlord, and authorities
Assist in the compilation of
risk assessments and safety documentation, ensuring compliance and
timeliness
Maintain communication with line
manager and
internal
stakeholders to relay updates and assist in progress reporting
Help coordinate suppliers
and internal teams on the day of the event to ensure smooth execution
Provide onsite support
during events as required, troubleshooting issues and ensuring the event
runs according to plan
Support line
manager
with delegated tasks and project-related activities, including assisting
in meetings and follow-up actions
Contribute to post-event
activities, including reports and feedback collection
Research
event trends in the market and provide insightful suggestions and
approaches.
Collate cross department
data for post event reporting
Prepare
quarterly and annual reports, providing insightful data to support future
events strategies and overall business planning
Late night and occasional
weekend shifts required
Travel
within the Great China is required.
